Official method to add an HTML signature, a few more steps but will ensure all necessary HTML is included.

Downloading Signature:
Right click on button under selected Signature and click “Save As” or “Save Link As” to save text file to computer

Adding HTML signature to Outlook:

  1. Highlight the desired signature version, right click, then COPY (Ctrl. C)
  2. Open Outlook and Create a New Email
  3. Select Signature on the top menu bar then click “Signatures…” from the drop down menu
  4. Create a New signature and type a name for this signature
  5. PASTE (Ctrl. V) new signature into the Edit Signature box at the bottom
  6.  Hyperlink and format “How was my service today? Let my manager know!” to your manager’s email address
    • In the Edit Signature panel you’re currently on, highlight “How was my service today? Let my manager know!”
    • At the end of the menu bar select the hyperlink icon (two icons down from Business Card)
    • Select “E-mail Address” in the Link To: options on the left hand side of the dialogue box
    • Enter your manager’s email address and put “Feedback on [insert your name here]’s service today” (i.e. Feedback on Gabrielle’s service today”)
    • Change the font color of the link to our official IW Orange shade:
    • Highlight the text “How was my service today? Let my manager know!”
    • Select the font color on the top menu bar (A) icon
    • Select More Colors
    • Go to CUSTOM at the top
    • To change the color, click on the color bar (beside the “underline” icon)
    • Click “More Colors” at the bottom and select “Custom” to input the following RGB color values (this is our official Interwork shade of orange)
    • Enter the following values in the RGB fields:
      R – 236
      G – 76
      B – 44
  7. Hit OK
  8. Go back into Signature on the menu bar and select the new signature you created to add it to your emails

This method could cause display issues if all necessary HTML isn’t copied/pasted into Outlook.  Test signature by sending an email to another person (or yourself) to make sure it looks okay before formally using for business emails.

  • Save the image onto your computer
  • If you haven’t already, select either Signature v16 A or B (depending on if you have an additional phone number you want in your signature) and follow the instructions for downloading or copy/pasting the signature
  • Open New Email (your new signature should be prepopulated on the screen, if not, click the down arrow on the Signature icon on the menu bar and select the one you just created)
  • Right click the image of Margaret’s headshot and click “Change Picture” then select “From a File”
    • Do not paste/insert the image. “Change Picture” will ensure that the image retains the same pre-set dimensions and proportions as the original picture file
  • Locate and select your headshot
  • Your own headshot should now appear in place of the templated one
  • To finalize your new signature, highlight the completed signature and copy it (right click, copy or ctrl. C)
  • Go back into the Signatures Editor
  • Revisit steps 3 to 5 under Copy and Paste Signature instructions and hit OK
